Key performance areas:

Bid/Tender administration:

•Assist the Bid Administrator with the preparation and coordination of project proposals for opportunities inside and outside South Africa.
•Assist the Bid Administrator with research on projects and opportunities, which may include data capturing and statistical analysis, as per instruction from the Engineers and Planners.
•Assist the Engineers and Planners with the preparation of presentations to potential clients
•Manage multi-disciplinary information required for tenders and proposals.
•Collate and prepare supporting documentation for the preparation of tenders and proposals.
•Capture and maintain proposal data
•Update and maintain standard proposal information, project data, CV’s of technical staff, etc.
•Provide general administrative support to the Bid Administrator, Engineers and Planners

Quality Management:

•Assist with project filing
•Assist with project planning files
•Assist with J Number Applications
•Assistance to General Administrator
•Assist with electronic filing system
•Assist Closing out of CARS after formal audits
•Sorting out Quality File issues raised after informal audits
•Ensuring filing system is up to date (cabinets)
•Assist with following up with clients on late payments (A/R)
•Assist with updating project plans and status updated on regular basis
•Assist in project invoicing
•Assist with renewal of sub-con / co-con agreements
•Assist PM's in the process on developing the Gibb Project Management Templates, methodology and other tools and keeping these periodically updated in line with industry Best-Practice


Degree or Diploma in Administration


Experience in tender preparation in a multidisciplinary environment or exposure to strategic planning projects will be an advantage.
